Do Notion and ClickUp overlap?
The short answer: One workspace may suffice for a document-heavy team with simple task tracking, or a project team whose knowledge fits its task workspace. Both can earn their place when Notion owns lasting knowledge and ClickUp owns execution. Keep a clear boundary: updating the same owner, deadline and status twice creates avoidable work. Permissions, database structure and automations need testing before migration.

Give knowledge and execution clear owners
| Your workflow | Notion | ClickUp | Decision to test |
|---|---|---|---|
| Knowledge and documents | Pages and databases can hold decisions, briefs and linked records. [1] | Docs can sit alongside the task workflow; imported Notion pages can become Docs. [6] | One may suffice if people find the latest decision without duplicate notes. |
| Tasks and delivery | Databases include properties, subtasks and dependencies. [1] | Unlimited lists Gantt, native time tracking and resource management. [2] | Test a changed deadline, a dependency and the report your team actually uses. |
| Collaboration and access | Free limits team blocks and allows ten guests; paid permissions differ. [1] | Free guests get full access; paid guest permission controls are listed. [2] | Run a teammate and client access test before moving shared work. |
| Automations and apps | Editable database automations need a paid plan; Free can create Slack notifications. [3] | Free has 100 monthly actions, Unlimited 1,000; automation integrations and task webhooks start at Business. [4] | An ordinary app connection does not prove your automation connector is included. |
Seats, billing and plan gates
Notion
Plans are priced per member with monthly or yearly payment options and a regional currency selector. Our retrieved page showed EUR 9.50 for Plus and EUR 19.50 for Business, but did not reliably identify the active billing toggle. We therefore do not present those as a verified monthly invoice quote: check your region, billing term and paid member count. [1]
Free file attachments are limited to 5 MB; the page lists about 5 GB per file on paid plans. Free and Plus show an AI trial, rather than unlimited included AI. [1]
ClickUp
Unlimited is USD 10 per user/month paid monthly, or USD 7 per user/month billed yearly. Check the billable team and any AI add-ons separately. The Free plan’s storage is 60 MB; paid plans list unlimited storage. [2]
Unlimited has 500 active automations and 1,000 monthly actions; Business has 5,000 monthly actions and automation integrations. Automations pause when the monthly quota is exceeded. [4]
Enter complete workspace bills as monthly amounts if reviewing your team’s spend. Do not combine currencies or treat unused seats as refundable savings.
Migration is more than a document export
Notion supports HTML, Markdown/CSV and PDF exports, with restrictions by format and plan. Its export documentation warns that reuploading an export does not instantly restore the original workspace. [5]
ClickUp’s Notion importer takes databases and documents, but lists gaps including inline task comments, attachments, button fields and page history. Many fields become text, and formatting is simplified. [6] Check relations, formulas, internal links, permissions, recurring work and automations individually; do not assume the import is equivalent.
If both remain, make Notion the owner of one knowledge record and ClickUp the owner of each actionable task. Link between them rather than synchronizing every status twice. Your actual reporting needs, permissions and rebuild effort remain uncertain until the sample project succeeds.
A three-task trial before the next renewal
Use the plan you would keep. Record corrections, time spent and any blocked step. This is an editorial trial, not a measured winner.
- Move one live project brief and its tasks into the candidate workspace. Assign an owner and deadline, change a dependency and find the latest status without updating a second copy.
- Give a teammate and a guest a small knowledge area. Test search, linked records, comments and permissions; ask each to find a decision and update only the record they own.
- Run one recurring automation and required app connection, then export and import a sample project. Compare fields, attachments, history and permissions; record rebuild time before moving the rest.
One tool may suffice if it passes every required task at normal volume. Keep both if each passes a different essential task; verify more if either required job remains untested.
